This privacy policy outlines what personal information allwoman gathers once you become and client and why, it also explains what your rights are.

WHO WE ARE

The website is owned by allwoman and our registered address is 13 Freeland Park, Wareham Road, Poole Dorset BH16 6FA

allwoman (‘we’ or ‘us’) are a ‘data controller’ for the purposes of the Data Protection Act 1998 and as of 25 May 2018, the General Data Protection Regulation (‘GDPR’) (as applicable the “Legislation”) where we control the purposes for which we process your personal information. We will take all appropriate steps to ensure compliance with the Legislation. Any questions about our data protection policy or how we handle your personal data should be addressed to Lara Heppell. THE PURPOSE OF PROCESSING CLIENT DATA

In order to provide professional yoga support and therapeutic treatments a certain amount of personal data is collected by allwoman in our initial telephone calls, email discussions and via new client registration forms. This is for the purposes of meeting Insurance Company criteria as well as helping to inform the unique personalised services that allwoman provides to you. From our discussions and initial registration forms we will need to gather and retain potentially sensitive information about your health and wellbeing, this information will only be used to inform our work together. We also take basic contact details and information via our web contact form to allow us to respond to your enquiries and handle bookings.

WHAT INFORMATION DO WE COLLECT?

We collect personal information about you (such as your name, address, email address and contact details), when you make an enquiry, apply for a one to one programme, workshop, retreat or training course or otherwise request services from us. We also collect personal information when you contact us asking to subscribe to our newsletter via the online form.

Main areas of information we collect are:

  • Your contact details
  • Medical history and other health related information
  • Therapeutic Treatment details and related notes (For Mizan therapies and One to One / Programme support)
  • We will only use this information to inform the treatments, any advice I might give as a result of your treatment, or when providing appropriate yoga support.

 

HOW WILL WE USE THE INFORMATION ABOUT YOU?

We process information about you so that we can:

  • identify you
  • assess and process any yoga support or therapeutic treatment / programme support, workshop, retreat, training courses which we run and which you may apply to attend
  • provide the training or other services requested
  • if you subscribe to our newsletter, to let you know about other services or information that may be of interest to you (see ‘Marketing’ section below)
  • detect and prevent fraud
  • customise our website and its content to your particular preferences
  • notify you of any changes to our website or to our services that may affect you
  • improve our services

We may send information about you to other parties, associates and service providers and law enforcement agencies if required.

The information we obtain from you helps us to:

  • Professionally and safely support you with appropriate Yoga & Movement practice, and /or Mizan abdominal Therapy.
  • Administer your application to join a yoga class/ book a therapeutic treatment/ attend a course/ workshop/ retreat or Intensive Programme
  • Administer the provision of any services you have requested e.g: attendance at a one to one, class, event or request for further information
  • Provide you with information about other services we offer that are similar to those you have already purchased or enquired about through our email newsletter, providing always that you have given us the necessary consent
  • Notify you about any changes to our services
  • Conduct in house research and statistical analysis
  • Alert you to class cancellations or amendments to timetables

EMERGENCY CONTACT INFORMATION

Emergency contact information is collected solely for use in an emergency, should Lara of need to contact your next of kin or give this information to the emergency services. This is only information that would be shared with a third party, and only in the context of an emergency.

 

THE LAWFUL BASIS FOR HOLDING AND USING CLIENT INFORMATION

The lawful basis for which we use your information is by legitimate interests. i.e. my requirement to obtain relevant information in order to provide you with the best possible yoga/ therapeutic support options and advice.

The lawful basis under which we hold your information is for ‘claims occurring’ insurance purposes, the law regarding children’s records and my obligations as a YAP & Mizan Therapy registered practitioner.

As we hold special category data (i.e: health and wellbeing related information) for Mizan abdominal therapy treatments and also intensive Programme support work the additional condition under which we hold this information is for me to effectively fulfill my role as a health and wellbeing specialist bound under confidentiality rules set out by my Mizan Therapy and YAP Code of Practice and Ethics.

COOKIE POLICY

We may store information about you using cookies (files which are sent by us to your computer or other access device) which we can access when you visit our site in future. We may also collect your device’s IP address as part of the basic functioning of this website. We do this to allow the website to function properly and to collect anonymous information about how this website is used, through Google Analytics.

DYNSRV -This cookie is a session cookie, intended to track which web server to send the visitor to. It’s purpose is to improve the performance of the website and your browsing experience.

_ga, _gat, _gid – Google Analytics – These cookie name are associated with Google Universal Analytics.They are included in each page request in a site and used to calculate visitor, session and campaign data for the sites analytics reports.

etBloomCookie – this is used by the popup on the website for the Mailchimp newsletter.

MARKETING AND EMAIL NEWSLETTER

If you subscribe to our email newsletter we may use your information to provide you with further information by email about our one to one support services, group classes, workshops, events, retreats and training courses, blogs, our latest offerings and any special offers and promotions we might be running. You can choose to unsubscribe at any point by clicking on the link at the bottom of the email.

Subscribed activity is tracked and stored in a database for future analysis and evaluation. Such tracked activity may include: the opening of emails, forwarding of emails, the clicking of links within the email content, times, dates and frequency of activity (this is by no means a comprehensive list).

KEEPING YOUR DATA SECURE

My associates and I are bound by obligations of confidentiality and trained in the protection of personal data. We will take all reasonable steps to comply with the Legislation and use the appropriate technical and organisational measures necessary to safeguard your personal data. We only share your personal data with third parties who also comply with the Legislation.

While we will use all reasonable efforts to safeguard your personal data, you acknowledge that the use of the internet is not entirely secure and for this reason we cannot guarantee the security or integrity of any personal data that is transferred from you or to you via the internet. RETENTION PERIODS

I store your personal data on secure servers or on paper records for seven years after your class with me, for children under 18 records are kept until they are 18 and then for an additional seven years after that, in line with current Insurance requirements.

Other personal data, such as emails shall be stored for 2 years from the date on which you cease to be a client of ours or for a period of 6 years if we are specifically required to retain your personal data for HMRC purposes
until you ask us to destroy or remove it
In each case unless the law requires us to store the data for a longer period.

NOTIFYING YOU OF CHANGES TO THIS NOTICE

If there is a change to the allwoman privacy notices or how we use your data we shall contact you via email notice, written or hard copy notice, or through conspicuous posting of the notice on my social media channels and via the Booking System. I reserve the right to determine the form and means of providing notifications to you, and you may have opted out of certain means of notification as described in this Privacy Notice.

Allwoman is not responsible for the practices employed by websites linked to or from allwoman nor the information or content contained in them. Please remember that when you use a link to go from allwoman to another website, our Privacy Notice is no longer in effect. Your browsing and interaction on any other website, including those that have a link on our website, is subject to that website’s own rules and policies.
